70% More Leads, No Extra Hires: How Cavalier Moving Stopped Losing Jobs to Voicemail

Rooke Crouch and his partner Josh Wright didn't want one brand stretched across three cities. They built Cavalier Moving in Richmond, Tidal Town Moving in Virginia Beach, and Saltwater Moving in Charleston—three local names, one operation running underneath.
That plan worked so well it almost broke them. Lead volume nearly doubled this year, and a five-person sales team couldn't answer the phone fast enough to catch it all. Rooke didn't solve it by hiring his way out mid-summer. He fixed the system instead.

About Cavalier Moving
Location: Richmond, VA (HQ), Virginia Beach, VA and Charleston, SC
Services: Full-service residential moving, with storage rolling out in Richmond
Company: 3 brands, 35+ trucks, one shared 5-person sales team
Revenue: On pace for $9.2M combined this year
Challenge
When Rooke and Josh started Cavalier Moving in 2020, they had big plans for growth. Three brands and three cities later, growth came faster than they could keep up with. Lead volume jumped, booking rates started to slide, and one small team was booking jobs across all three brands with no room to add headcount in the middle of peak season.
Solution“We went from 5,400 leads last year to 9,200 leads this year in the same time frame. More leads is great, but we weren’t ready for it. We were literally taking voicemail after voicemail. We’d come in every morning to 30 voicemails and the phone ringing off the hook.”
Cavalier, Tidal Town, and Saltwater already booked every job through one SmartMoving account, so one Richmond-based sales team could sell all three brands without learning three different setups.
When the calls outran the team, Rooke didn't add headcount mid-season. He put Smart Scout AI to work catching what the team couldn't get to.
- Kept all three brands on one system so the same sales team could grow into new markets without retraining
- Put Smart Scout on peak and overnight calls, logging move details in SmartMoving for sales to review in the morning
“Smart Scout helped smooth everything out, qualify all the leads, and cut out the voicemails."
How SmartMoving Helped
Starting the day with qualified leads, not voicemails
Rooke’s team set Smart Scout to grab the basics—move type, timing—the moment a call comes in, then tell the caller exactly when to expect a callback: 30 to 60 minutes during the day, or the next morning if it's after hours. Reps start the day booking jobs, not backlogged.
Open 24 hours without a 24-hour staff
Smart Scout picks up calls around the clock, so Cavalier's phones are covered day and night. Rooke’s team still works normal hours, but they show up in Google as ‘Open 24 hours,’ which helps them in rankings, since it signals the business is always reachable.
Every lead's source gets tracked, not guessed at
Rooke's team asks every caller how they heard about the company—Google, a realtor, word of mouth—and logs it in SmartMoving. UTMs add another layer of tracking, especially in SEO, so Rooke sees exactly what’s driving business instead of guessing where to invest.
Knowing which referrals are actually paying off
Rooke’s marketing team tracks realtor and word-of-mouth referrals in each city through SmartMoving's affiliate portal, so they know exactly which relationships are worth investing in and can reward the people sending business their way.
“We use the affiliate portal in SmartMoving to track who’s referring customers to us. We have it connected to Snoball, so we can reward them for referrals, too.”

If your phones are ringing more than your team can answer, that's not a staffing problem. It's a system problem.
